Privacy policy

This notice sets out how we will use your personal data, provided to us through the Government Finance Function (GFF) careers website and explains your relevant rights under the UK General Data Protection Regulation (UK GDPR).

HM Treasury sponsors the Government Finance Function (GFF) so, for the purposes of the UK GDPR, HM Treasury is the data controller for any personal data you provide. You can find out more about what we do at https://www.financecareers.civilservice.gov.uk/who-we-are/ .

Data Subjects

Individuals subscribing to government finance job alerts and registering interest for information on upcoming opportunities and events.

Personal Data

Personal data means any information relating to an identified or identifiable natural person. The personal data will be collected directly from you and the nature of personal data will be apparent when completing the registration form. The personal data will include -

  • Name
  • Email address
  • Work history
  • Qualifications
  • Regional location

How we use your personal data

The function of the GFF careers website is to promote finance careers in government; and we require your personal data to be able to share relevant job opportunities, information, and events directly with you. Your personal data will only be used to provide you with the GFF services you subscribe to.

Our site also contains links to the websites of partner organisations, such as the Civil Service Jobs platform, hosted by the Cabinet Office. If you follow a link to any of these websites, please note that they are controlled by those organisations which have their own privacy notices. Please refer to these for information on how those partner organisations will process any of your personal data.

Our lawful basis for processing your personal data

The lawful basis we are relying on to process the personal data is UKGDPR 6(1)(e) – the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

Who will have access to your personal data

Your personal data will only be made available to staff within HM Treasury who have a business need to see it for the purposes of managing the GFF attraction process and contacting you with details of careers events or job vacancies.

GFF use the SmartSurvey platform to collect your personal data when registering your interest in job alerts, opportunities, and upcoming events. For the purposes of the UK GDPR, SmartSurvey are data processors, acting solely on the instruction of HM Treasury (the controller) and will not use your personal data for any other purposes other than providing HM Treasury with the service.

Storing your information

Personal data submitted via the GFF careers website and through the SmartSurvey platform, will initially be stored on SmartSurvey within GFF’s SmartSurvey account. SmartSurvey is a government approved, UK-based platform.

GFF will extract your personal data from the SmartSurvey platform to provide the services subscribed to directly from the GFF People & Capability team. This personal data will be stored on GFF systems under strict information security policies with technical measures in place to ensure your personal data is held securely.

Your personal data will only be retained by GFF for as long as necessary and as for as long as you wish to remain a subscriber. This period will be, as standard, for 2 years. At this point we will contact you, notifying you of the subscription end date and providing you with the means to continue your subscription.

Communications from GFF will provide you with the means to unsubscribe and you can unsubscribe at any time by contacting people@hmtreasury.gov.uk.

Your relevant rights, in relation to this activity, are to:

  • request information about how we process your personal data and request a copy of it

  • request that your personal data are erased if there is no longer a justification for them to be processed
  • complain to the Information Commissioner’s Office if you are unhappy with the way in which we have processed your personal data
